Method in Motion – The Need-to-Know Guide

  1. Quotation & Getting Started
  • Once you’ve accepted our quotation, we’ll schedule a kick-off meeting to go over all the details and make sure we both understand what’s expected from each other.
  • From this, we’ll create a Statement of Work (SOW) outlining everything agreed.
  • Please read it thoroughly, sign, and return it—we won’t be able to start work until this is completed. This ensures we’re both on the same page from day one!
  1. Booking & Payment
  • To confirm your project, we usually require a 40% deposit upfront. This helps us secure crew, locations, and resources.
  • The remaining balance is due within 30 days of invoicing, unless otherwise agreed.
  • All prices are subject to VAT at the standard rate (we’ll detail this on your invoice).
  • Late payments may incur a small interest charge because, well, we have bills to pay too!
  1. Cancellation Policy (Let’s Keep It Fair!)
  • If you need to cancel, please let us know as soon as possible.
  • Cancellations made less than 24 hours before a shoot may incur a 100% fee, at our discretion.
  • We’re always happy to discuss rescheduling, but any additional costs (e.g., crew or location fees) will need to be covered.
  1. Amends & Extra Edits
  • If amends to the original brief are needed, we’re happy to discuss extra fees and re-quote if necessary. We’ll reissue a Statement of Work and work to the new one.
  • If costs change due to things like locations, props, or other unexpected factors, we’ll keep you fully updated.
  • Every project includes two rounds of reasonable amends—this means tweaks and refinements, not a whole new video!
  • Need more than that? No problem. Extra amends are charged at an hourly rate.
  • If we’ve made a mistake, we’ll fix it for free—because that’s only fair.
  1. Filming Permits & Copyright (Let’s Keep It Legal!)

We want to make sure everything in your video is above board and legally sound. To help with that:

  • If you provide any copyrighted material (music, images, video clips, logos, etc.), you must ensure you have the necessary permissions or licenses for us to use them in your project.
  • If a copyright claim arises over material you supplied, you’ll be responsible for any legal costs or claims made against us—so let’s double-check everything upfront!
  • If you’re providing the filming location, it’s your responsibility to secure the right permits, licenses, and permissions.
  • If people are being filmed, please make sure they know and give consent (especially if they’re under 18—parental/guardian permission is required).
  1. Data Storage & Retention
  • Your footage is stored securely on a fully raided server and a backup hard drive in a safe.
  • Want Cloud Backup? We offer this for a set fee per project. If you don’t opt for this, your footage won’t be uploaded to the cloud.
  • While we take every precaution, in extreme circumstances (fire, flood, etc.), we can’t guarantee your footage will survive—though we hope this never happens!

Keeping Your Footage Forever? We Can Do That!

  • If you’d like us to store your footage indefinitely, we offer a flat fee.
  • This means we’ll transfer your footage onto a portable hard drive, remove it from our main system, and keep it safely archived for future use.
  1. Copyright & Usage (Final Video vs. Raw Footage)
  • Once your invoice is fully paid, you have the rights to use the final edited video as agreed. This means you can share, publish, and distribute the finished product however you like.
  • What about the RAW footage?
    The RAW, unedited footage remains the copyright of Method in Motion. These are our magic ingredients—the building blocks that make your final film amazing, and part of what makes our work unique. We don’t typically hand these over, as they represent our creative process and future earning potential.
  • If you do need access to the RAW footage, let’s chat at the project inception so we can discuss your needs. If we agree to provide it, there will be an additional fee, which reflects the value of our work.
  • Showcasing our work
    We love sharing the films we create! Unless you tell us otherwise, we may use parts of your final video on our website or social media to showcase what we do.
  1. Liability (a.k.a. Keeping Things Real)
  • We take every care with your project, but we can’t be responsible for unexpected problems (like power cuts, venue cancellations, or acts of God).
  • If something goes wrong that’s our fault, we’ll do everything we can to fix it.
  • If we’re unable to deliver for reasons beyond our control, liability is limited to the amount you’ve paid us—but let’s be honest, we’ll do everything possible to make things right!
  1. Health & Safety (Because We Like Keeping People Safe!)
  • We follow strict safety guidelines, and if a shoot location is unsafe, we reserve the right to stop filming.
  • If you’re providing the location or arranging participants, you’re responsible for ensuring it’s safe and that permissions are in place.
  1. Final Bits & Bobs
  • Any disputes will be handled amicably—we prefer a cuppa and a chat to legal drama!
  • These terms are governed by UK law.
  • We’re always happy to discuss special requests—just ask!
